WhatsApp Business API Integration: A Practical Guide

How to integrate the WhatsApp Business API with your CRM, website and app: use cases, approved templates, opt-in rules, costs to plan for and a rollout plan.

WhatsApp is where many customers already are, especially in India. The WhatsApp Business app works for a small shop replying by hand, but once you want automated updates, a shared team inbox or messages triggered by your own systems, you need the WhatsApp Business API (now offered through Meta's WhatsApp Business Platform).

This guide explains what the API can do, the rules you must follow and how to roll out an integration without getting your number restricted.

What you can build with the WhatsApp Business API

  • Transactional notifications. Order confirmations, delivery updates, appointment reminders and payment receipts, sent automatically from your system.
  • OTP and authentication. Login and verification codes delivered on WhatsApp.
  • Lead capture and follow-up. Website and ad leads land in your CRM and get an instant WhatsApp reply.
  • Shared team inbox. Multiple sales or support staff answer from one business number, with chats assigned and tracked.
  • Chatbots. Answer common questions, collect details and hand over to a person when needed.
  • Campaigns. Send approved promotional messages to customers who have opted in.

The rules that matter

WhatsApp is strict, and breaking its rules can get your number limited or banned.

  • Opt-in first. Customers must agree to receive messages from you before you start a conversation.
  • Approved templates. Messages you send first must use templates approved by Meta. Templates are categorized, for example as marketing, utility or authentication, and the category affects pricing.
  • The 24-hour window. When a customer messages you, you can reply freely for 24 hours. After that, you need a template again.
  • Quality ratings. If many people block or report your messages, your quality rating drops and your sending limits shrink.

Costs to plan for

Budget for three things:

  1. Meta's message charges, which depend on the country and message category. Rates change, so check Meta's current pricing.
  2. A provider or hosting, either Meta's Cloud API directly or a Business Solution Provider.
  3. Development, for connecting WhatsApp to your CRM, website, app or ERP and building any inbox, bot or campaign tools.

How to roll out an integration

1. Verify your business

Set up a Meta Business account, complete business verification and register a phone number that is not already used on the WhatsApp app.

2. Start with utility messages

Begin with order updates or reminders. They are expected by customers, rarely get blocked and build up your quality rating.

3. Connect your systems

Use webhooks to receive incoming messages and delivery statuses, and store every conversation against the right customer record in your CRM.

4. Build opt-in into every form

Add a clear WhatsApp consent checkbox to sign-up, checkout and lead forms, and store when and where consent was given. This also supports DPDP compliance.

5. Add automation carefully

Introduce chatbots and campaigns after the basics work. Always give people an easy way to reach a human and to opt out.

Build or buy?

Off-the-shelf WhatsApp tools are fine for simple broadcasts. A custom integration pays off when WhatsApp needs to work inside your own CRM, order system or app, with your data and your workflows.

Frequently asked questions

What is the difference between the WhatsApp Business app and the API?

The Business app is for a few people replying from phones. The API connects WhatsApp to your own software, so you can automate messages, connect a CRM, and let a whole team share one number.

Do I need customer opt-in to send WhatsApp messages?

Yes. You must collect opt-in before sending business-initiated messages, and those messages must use templates approved by Meta.

How is the WhatsApp Business API priced?

Meta charges per message or conversation, with rates that vary by country and message category such as marketing, utility or authentication. Check Meta's current pricing page, as rates change.

How long does a WhatsApp API integration take?

A basic integration for notifications can go live in a few weeks once your business is verified. CRM sync, chatbots and campaign tools take longer depending on scope.
