Festival Mandal Accounting: Managing Vargani and the Final Hisab for Every Festival

How festival mandals and committees can manage vargani, receipts, cash handover and the final hisab for Ganeshotsav, Navratri, Durga Puja and every festival.

Whatever the festival, a mandal handles a lot of money in a short time: vargani from hundreds of households, cash in the hands of many karyakarte, and expenses for the idol or decoration, pandal, sound, lighting and prasad. Most of it is still tracked in notebooks and WhatsApp messages. That is how honest committees end up with arguments over the hisab.

This applies to every festival a committee celebrates: Ganeshotsav, Navratri, Durga Puja, Dahi Handi, Shiv Jayanti, Holi, Diwali, community jayantis and local jatras. Many mandals run several festivals a year, and each one deserves its own clean hisab.

Here is a simple, transparent way to manage mandal accounts for any festival.

The common problems

  • Receipts that cannot be traced. Loose receipt slips, books issued without records, and no way to tell if a leaf is missing.
  • Cash that changes hands without a record. A collector gives cash to someone, who gives it to the treasurer, and nobody writes it down.
  • Expenses in personal notebooks. Bills are paid from pockets and settled later from memory.
  • A final hisab nobody trusts. Totals are added up after the festival, when it is too late to find what went wrong.

1. Use numbered receipt books

Issue numbered receipt books to each collector and record who has which book. Every vargani entry should have the donor's name, the amount and the payment mode: cash, UPI or cheque. A receipt for every rupee protects both the donor and the collector.

2. Record cash handovers as they happen

When a collector hands over cash to the treasurer, both should confirm the amount at that moment. A recorded handover trail means a shortfall is visible the same day, not at the end of the festival.

3. Put expenses in the mandal's books

Every expense and every other income, such as sponsorships, belongs in the mandal's shared books, not a personal diary. Attach bills wherever possible.

4. Watch the position live

The committee should see collections, expenses and the balance as they happen, across all collectors and receipt books. Problems are easy to fix early.

5. Keep each festival separate

If your mandal celebrates more than one festival a year, keep separate books for each one, with their own receipt books, expenses and closing balance. Members can then see exactly what each festival collected and spent.

6. Close with a signed final hisab

At the end of the festival, the president and treasurer review and sign off the final hisab. Once it is signed, lock the books so the numbers cannot change, and share the statement with members.

Do it on a phone with MandalHishob

We built MandalHishob for exactly this. Collectors record vargani offline, door-to-door or at the pandal. Donors get receipts on WhatsApp or as a printed slip. Cash handovers are confirmed with a PIN, the committee sees the live position, and the festival closes with a dual-signed final hisab exported as a PDF.

It works in Marathi and English. Each role sees only what it needs: collectors their own vargani, the treasurer handovers and balances, the admin the whole mandal. Creating a mandal costs a one-time ₹101 registration fee in the app, and invited collectors and treasurers pay nothing.

Transparent accounts make next year's vargani easier to collect. Start your next festival with books everyone can trust.

Frequently asked questions

How should a mandal record vargani?

Record every collection with the donor's name, amount and payment mode, and issue a receipt from a numbered receipt book so every leaf can be accounted for.

How can a mandal prevent missing cash?

Record each handover of cash from collectors to the treasurer at the time it happens, confirmed by both sides. Then any gap shows up immediately, not after the festival.

What should the final hisab include?

Total collections by collector and receipt book, all expenses and other income, and the closing balance, signed off by the president and treasurer.

Can vargani be collected without internet?

Yes, with an offline-first app. Collectors record entries door-to-door or at the pandal, and the entries sync to the mandal's books when the phone is online again.

Is this only for Ganpati mandals?

No. The same approach works for any festival committee: Ganeshotsav, Navratri, Durga Puja, Dahi Handi, Shiv Jayanti, jayantis, jatras and other community celebrations.
