Car Garage Management: From Job Card to Delivered Keys
How to run a car workshop efficiently: digital job cards, inspection checklists, estimates, GST billing, dues tracking and staff payroll for independent garages.
Nexory Technologies · November 2, 2026
An independent car garage runs on trust and turnaround time. Customers want to know what is wrong, what it will cost and when the car will be ready. Yet many garages still run on a diary, a calculator and the owner's memory. That works until a car is promised to two people for the same evening, or a part-payment is forgotten.
Here is how to run a garage's day from intake to delivered keys, with a system instead of a diary.
1. Start every job with a proper job card
At intake, record:
- Vehicle details, KM reading and fuel level.
- The customer's complaints, in their words.
- The assigned mechanic and a promised delivery time.
A job card is your contract with the customer and your instruction to the mechanic.
2. Inspect before you touch the car
Run a quick, standard inspection checklist on every car. It finds additional work you can quote for, and records the car's condition before work starts, which prevents disputes later.
3. Send an estimate and get approval
Build the estimate from a standard price list so every advisor quotes the same. Share it with the customer, and once approved, convert it into the job card without retyping.
4. Track the status of every car
Move each job through clear stages: Received, Inspection, In progress, Ready, Delivered. The front desk can answer "is my car ready?" in seconds, and you can see bottlenecks.
5. Bill correctly with GST
Use per-item GST rates and show CGST and SGST separately. Issue a tax invoice to customers with a GSTIN and a plain bill to others, and share the bill digitally.
6. Record payments and chase dues
Accept cash, UPI, card, bank transfer and cheque, record part payments, and keep an outstanding balance per customer.
7. Manage staff, payroll and expenses
Record attendance, advances and payroll in the same system, give staff their own logins with permissions, and log expenses with receipt photos.
The numbers to watch
- Cars received and delivered each day
- Jobs delivered later than promised
- Average bill value
- Outstanding dues
- Monthly expenses against revenue

Frequently asked questions
What is a job card in a car garage?
A job card records a vehicle's details, KM reading, fuel level and the customer's complaints, plus the inspection, assigned mechanic, promised delivery time and status of the work.
Why should a garage use an inspection checklist?
A checklist at intake records the car's condition before work starts. It catches extra work early and protects the garage from disputes about pre-existing damage.
Does a garage need to issue GST invoices?
Registered garages must issue tax invoices to customers who need them. Software that prints a plain bill or a tax invoice depending on the customer's GSTIN makes this simple.
How can a garage track customer dues?
Record full and part payments against each bill and keep an outstanding balance per customer, so you can follow up before dues pile up.
